The Legalities of In-Person Meetings: What Every Association Executive Needs to Know

The COVID-19 pandemic certainly threw a monkey wrench into associations planned in-person meetings and conferences for 2020, cancelling most of them. The challenges for 2021 proved to be much greater from a legal and contracting perspective, as it became harder and harder for associations to successfully execute penalty free, force majeure contract terminations like they were able to do in 2020. More Florida-based associations are holding in-person meetings, but those COVID-related challenges still abound - like reduced attendance and attrition penalties.

As your association continues to negotiate new meeting contracts for 2022 and beyond, what are the lessons learned from the last two years of the pandemic? How should your association’s hotel, convention center, and other meeting contracts differ from those you signed in the past? What are some best practices and common pitfalls? Where are event venues accommodating associations’ requests and where are they pushing back?

And as associations hold and plan in-person meetings and conferences, legal questions continue to swirl about how to mitigate liability risk, whether to impose a mandatory vaccination requirement on attendees, whether to offer the alternative option of a negative COVID test, what exceptions to vaccination mandates need to be made under applicable law, whether to require liability waivers from attendees, whether staff can be required to attend meetings, and how to shift liability risks and COVID-mandated protocols to hotels and convention centers, among many others.

Non-Members: $40 after Mar 12: $45

Cancellation Policy: Cancellation requests must be made in writing by 5:00 pm, March 16  to receive a full refund minus a $10 administrative fee. Cancellations made after March 16, WILL NOT receive a refund. There will be no refunds for “no shows.”
